Table Officials

Accept player licenses at registration, hold licenses as collateral during event.

At a glance

Table officials are the first face every player meets at an event — they validate licenses, take entry fees and hand over the start pack. The platform gives them QR-scan check-in, instant federation lookup and integrated payments so peak registration moves in seconds rather than minutes.

Motivation

Welcoming players, ensuring compliance, smooth check-in.

Context

Table officials sit at the welcome desk for two to four hours of intense queueing before each event, then handle a slower stream of late arrivals, license issues and refunds throughout the day. A typical national qualifier sees 300 to 800 players check in within a 90-minute window, with three to six officials sharing the load.

They balance warmth — these are members of the same federation, often friends — with strict compliance: every license must be valid, every fee paid, every signature captured. Errors here propagate forward into the draw, into insurance liability and into the post-event audit, so a fast and forgiving check-in flow protects the whole event.

Needs in depth

1

QR-based license scan that checks-in entire teams in seconds and keeps queues moving even at peak registration

Why it matters

When a triplette of three players queues together with one captain holding three licenses, a manual check involves typing three license numbers, looking up three federation records and signing three slips. Multiplied across 200 teams that is the difference between a 30-minute queue and a 2-hour queue.

A QR scan flow lets the captain present three QR codes and the official confirms the team in one gesture, freeing the queue and reducing the temptation to skip checks under pressure.

How Petanque Life serves it

Each license carries a signed QR code that the official scans from the player app or printed card. Team check-in batches three or four scans into a single confirmation with team status, court and start time displayed.

Scans work offline with later sync; duplicates and revoked licenses are blocked at scan time.

2

Instant license validation against the federation registry with clear status indicators and a guided flow for resolving issues on the spot

Why it matters

License problems — expired, suspended, transferred mid-season, paid but not synced — appear at the desk and have to be resolved before the player can play. Without a guided flow the official either lets the player through (creating an insurance gap) or sends them away (creating a complaint).

Clear status indicators and a structured resolution path let the official handle the issue while the player waits, with a paper trail the federation can accept.

How Petanque Life serves it

Each scan returns a status badge — valid, expired, suspended, pending — with the federation record date stamp and the player's category. Issues launch a resolution wizard: pay-on-the-spot for unpaid licenses, contact federation for suspensions, accept temporary license with director approval.

Every decision is logged with the official's identity and a federation-acceptable reason code.

3

Integrated card and mobile payments with automatic receipts, refunds and reconciliation against the event ledger

Why it matters

Entry fees, late fees and licence top-ups are collected at the desk, often by card, Swish, BLIK or local mobile-money. Manual receipts, a separate card terminal and an end-of-day cash count are slow and error-prone, and reconciliation drags on for days.

The official needs a payment flow that takes the money, prints the receipt and updates the event ledger in one action, with refunds equally straightforward when a withdrawal is accepted.

How Petanque Life serves it

The check-in app integrates the country's preferred payment rails (card terminal, Swish, BLIK, SEPA, cash) and posts each transaction to the event ledger in real time with player and team context. Receipts print to the desk thermal printer or send by email.

Refunds reverse the same way with audit; the day's reconciliation is a single export ready for the federation accounts.

In practice

Saturday 07:30, regional Master qualifier, 240 teams. Four officials at the welcome desk. The captain of team Marseille-7 walks up with three licenses on his phone.

The official scans the first QR — valid, paid, photo matches. The next scan flags the second player as 'license payment pending' and launches the resolution wizard. The official takes EUR 35 by card, the terminal prints the receipt, the licence flips to 'valid' and the third scan completes.

Total time at the desk: 48 seconds. The team's status updates on the control table dashboard and on the player app, with the start time and court displayed. By 09:00 all 240 teams are checked in, the desk has processed 87 on-the-spot payments, and the event ledger reconciles to the cent without manual entry.

What success looks like

  • Average team check-in under 60 seconds at peak load
  • License lookup returns status in under 1 second online, instant offline
  • 100 percent of payments reconcile against the event ledger same day
  • Zero unlicensed players reach the courts (insurance compliance)
  • Resolution wizard handles 90 percent of license issues at the desk without director escalation
