Document Management is the federation's official archive: statutes, regulations, templates, board minutes, and forms versioned with full history, gated by audience (public, members, officials, custom roles), and signable digitally via BankID, Itsme, or DocuSign. Members find the right document fast, officials see the current version, expired licenses lose access automatically, and the federation keeps a defensible audit trail for every signature and revision.

Every tenant gets a federation document repository organised into configurable folders — statutes, regulations, judiciary precedents, templates, forms, sponsorship contracts, board minutes. Documents are uploaded with metadata (title, language, effective date, expiry, owner, classification) and indexed for full-text search across PDFs, Word, and rich text.

Document versioning and history keeps every prior revision. Replacing a document creates a new version while the old one stays linkable for audit and historical reference; a side-by-side diff shows what changed between versions of a regulation. Each version carries its own approval state, so a draft amendment can be reviewed without affecting the live published document.

Document access control sets per-document audience: public (visible on the federation website), members (logged-in license holders), officials only (referees, commissioners, board), or custom roles. Permissions cascade through folders but can be overridden at the document level. Public documents are crawlable and embeddable on club sites; members-only documents require login and respect the player's current license status — an expired license loses access automatically.

Form templates package the documents users actually need to interact with: license application, transfer request, judicial appeal, course enrolment, club affiliation. A form template defines the PDF layout, the data fields, and the routing — submitted forms land in the relevant inbox (membership, judicial, education) and trigger the right workflow elsewhere in the platform. Digital signature integration plugs into BankID, Itsme, and DocuSign so a transfer request, a coach contract, or an athlete agreement can be signed legally without printing. Signed documents are sealed, hashed, and stored alongside the original with the signing audit log, ready for any future challenge.

I praktiken

The general secretary uploads the 2026 competition regulation, marking it as members-only with effective date 1 January. The 2025 version is preserved; members browsing now see the new version, while a referee researching a precedent can still pull last year's text. A player wanting to transfer clubs opens Forms, picks Transfer request, fills the four fields, and signs with BankID; the signed PDF lands in the membership inbox with a sealed audit trail, and the transfer workflow opens automatically.

When her license expires next October without renewal, her access to officials-only judiciary documents drops the same minute — no manual cleanup needed.
